Administrative Executive at SAMH Activity Hub @ Pelangi Village

SAMH manages the Activity Hub, where psychosocial rehabilitative programmes are conducted to assist residents in their recovery from mental illness and to reintegrating them into the community. Activity Hub’s services include occupational therapy, social work, psychological services and vocational placements.

Key Responsibilities:

Assist the manager to ensure the smooth operations of the administration of the whole Activity Hub. The job encompasses administrations, finance and procurement, operations and maintenance of facilities and related infrastructure. We are looking for someone who is meticulous and likes to interact and co-ordinate with internal and external parties.


  • Assist in staff on-boarding and off-boarding related issues
  • Assist in maintaining and submitting staff attendance records and other HR related paperwork
  • Prepare and record documents for claims and petty cash
  • Keep proper records of the gifts and donations
  • Ensure proper filing of office records
  • Assist in preparing minutes, reports, and presentations


  • Ensure proper document of banking-in cheques and/or cash
  • Prepare cash advance with proper records for submission
  • Ensure all invoices issued are properly recorded and submitted
  • Assist in preparation of yearly budget and monitor the spending.


  • Purchase of office, pantry supplies, Personal Protective Equipment, RES equipment and source for quotes for repair and/or replacement of equipment
  • Verify and process documents such as purchase requisition forms, invoices, and purchase orders
  • Ensure compliance with our procurement policy and cost competitiveness

Facility Management

  • Ensure maintenance and upkeep of Activity Hub
  • Ensure proper record and documentation for movement of assets such as purchase, transfer or disposal
  • Monitor cleaners’ attendance and submit monthly timesheet
  • Monitor contract dates and call for quotation to ensure continuation of services.
  • Review Business Continuity Plans (BCPs) and conduct Table-top exercise (TTX) at least 2 times a year, especially for fire and pandemic


  • Diploma or Degree in Business studies or equivalent
  • Minimum 2 year of relevant experience
  • Prior experience in procurement is a must
  • Proficient in MS Word, Excel and PowerPoint
  • Responsible, committed and have passion to work in VWO
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Independent and able to work in a team
