Administrative Assistant (Finance) @ Pelangi Village

SAMH manages the Activity Hub, where psychosocial rehabilitative programmes are conducted to assist residents in their recovery from mental illness and to reintegrating them into the community. Activity Hub’s services include occupational therapy, social work, psychological services and vocational placements.

Purpose:

Assist in all procurement related matters and administration operations of the Activity Hub

Reponsibilites:

  • Assist in all procurement matters including reviewing quotations (e.g. pricing, contract terms, etc), selection of vendors and ensuring compliance with procurement policy
  • Maximize cost savings and ensure cost competitiveness
  • Process purchase requisition forms and matina accurate vendors’ records
  • Prepare and verify purchase orders, invoices and delivery orders
  • Coordinate with suppliers to ensure that timelines are met
  • Handle and record all general enquiries and feedback
  • Receive, record and bank-in cash or cheques collected and submit a monthly memo / transmitter to HQ (e.g. program fees, cash and cheque donations). To mail the receipts to the donors and submit a copy to HQ
  • Prepare and record all cash advances (programs, RES,& Sheltered Workshop) and to submit an account statement memo to HQ
  • Keep a proper record for Petty Cash and submit a monthly Summary of Petty Cash Reimbursements to HQ
  • Keep a proper record for all invoices issued out and submit a copy (green) to HQ
  • Keep a proper record of gifts and donations to the Center. The Gift Receipt form (pink copy) are to be submitted to HQ
  • Manage on-boarding and off-boarding related duties
  • Ensure proper filing of office records and maintenance of all administrative files
  • Ensure proper maintenance and upkeep of Activity Hub, e.g. cleanliness, pest control, etc
  • Ensure booking of meeting rooms and prepare refreshments for meetings, when necessary
  • Assist to prepare minutes, reports, presentations, etc
  • Support and assist in all programmes inlcuidng ad hoc project & community outreach programmes and events

Candidate Requirements:

Technical Competencies

  • ITE or GCE ‘A’ or Diploma in any discipline
  • Mininum 1 year of relevant experience
  • Must be proficient in MS Word, Excel and Powerpoint

  • Energetic and enthusiastic
  • Self motivated and resilience to serve the mental health population
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Independent and able to work in a team

Characteristics

  • Prior experience in procurement will have an added advantage
  • Must be flexible to work beyond normal work schedule, when required
