Administrative Assistant cum Activity Assistant (6 months Temporary) for ODC

Oasis Day Centre (ODC) is a psychiatric rehabilitation programme for people in recovery of mental illness or dual diagnosis (i.e., mild developmental disorders and mental illness). The main objective is to optimise clients’ level of function in the community, so as to cultivate independence, enhance interpersonal skills, and improve job readiness.

Responsibilities:

Administrative/Financial

  • Keep proper record for Petty Cash claims and reimbursement, and issue reimbursement for staff’s claims
  • Collect programme fees and issue receipts to clients; deposit cash/cheque to SAMH bank account
  • Receive/process invoices, ordering forms, and service orders
  • Receive cash and in-kind donations and issue gift receipts
  • Assign keys and belongings to new staff and allocate seating area to him/her. Raise an issuance form stating the list of items issued
  • Ensure proper maintenance and upkeep of the centre – engage and liaise vendors to repair, replace and service equipment, installations, and electrical appliances, etc
  •   Submit respective documents and records for the abovementioned to Finance and HR accordingly

Activities Planning, Execution, and Logistics

  • Work with Programme Coordinator to develop and disseminate monthly programme list
  • Ensure materials, logistics and administration needed are in place for daily activities, which include booking of transport van, liaise with external parties, travelling to places and purchasing items
  • Conduct activities, which include accompanying clients to outings (and back to ODC when necessary)
  • Support activities conducted by volunteers and staff and rendering them assistance when needed
  • Attend to residents during emergency/conflict/injury
  •  Record clients’ daily attendance and ensure clients sign in attendance book
  •  Record contract work hours/output and calculate allowances earned by each client
  • Attend SAMH Outreach Events e.g. booth manning, public forums, fundraising dinners
  • Conduct talks for visitors to ODC

Requirements:

  • Possess  GCE ‘N’ / ‘O’ level or NITEC
  • Passionate, energetic and enthusiastic
  • Team spirit
  • Willing to commit to a 6 months temporary contract
  • Prior work experience in the Social Services sector will have an advantage
