Activity cum Administrative Assistant (SAMH YouthReach)

This position reports to the Programme Coordinator/ Programme Head and to assist program staff in working with youth & families to promote youth’s well being, enhance strengths and integration back to their own communities and administrative support.

Objective:

  1. To  assist program staff in working with youth & families to promote youth’s well being, enhance strengths and integration back to their own communities
  2. To provide administrative support to ensure smooth running of the program and to monitor and ensure quality of the program

Assist in Centre Programme:

  • Assist in planning and coordinating social recreational activities
  • Accompany youths for outdoor activities
  • Assist in the execution of daily activities in YouthReach
  • Assist in conducting  group sessions
  • Inform professional staff  of  critical situations involving conflict, violence and other emergencies promptly

Assist in Administration:

  • Take attendance and maintain attendance log and programme related statistics
  • Assist Programme Coordinator in coming up with monthly calendar of activities and mail to youths, email interns and active volunteers
  • Help to cover Programme Coordinator duties if staff is on long leave
  • Ensure maintenance of premises and YouthReach property
  • To receive, record and bank-in, program fees, donations and gifts collected and submit memo to HQ. To mail the receipts to the payees and donors.
  • To receive and submit cash advance requests and account statement memo to HQ. Cash advances are for centre programmes, ez-link cards top-up, family night, outing and any other events organised by YR.
  • To keep proper record for Petty Cash and submit a Summary of Petty Cash Reimbursement to HQ.
  • To submit MC/Medical Receipt documents and Transport Claim document, to HQ. To file photocopies of such documents in staff file.
  • To submit Memo and Invoices that require ED’s approval, to Headquarter.
  • To ensure proper maintenance and upkeep of the centre – equipment maintenance, licence renewal etc.

Other Duties:

  • To work on ad hoc project & community outreach programmes and events ie  Anniversary Celebration, Flag Day, World Mental Health Day
  • To carry out any other duties assigned by the Agency/Executive Director

 Requirements:

  • Minimum GCE ‘O’Level and above
  • At least 1 year experience working with Youths.
